Every case, pallet and loose piece on a gig becomes one line on a driver's document — with the weight of the gear plus the empty case it rides in, the declared value, and signature blocks, on your company letterhead. Generating it freezes an itemized copy of exactly what left the building. And when a weight is missing, the document says so on the line the carrier signs instead of printing a number nobody can stand behind.
Nobody knows what that truck weighs.
The BOL gets retyped into last show's document at 6am. The piece count is whatever somebody counted on the dock, the weight is a number that sounded about right, and the empty road cases — a 4U rack is 40 to 60 lbs before anything goes in it — aren't in the total at all. Ten of those is a quarter-ton the driver signed for and never got told about.
Then the truck leaves, and that paperwork is gone for good. Three months later a case didn't come back, or an insurer wants a list, and the only proof of what was inside is a pack list that's been edited eleven times since.

Split the load across the trucks.
Open the Load Plan on any gig and the list arrives already grouped: one row per road case or pallet, plus a "Loose items" group for anything not in a box. Tap T1 through T4 to assign a group to a truck, tap the dash to clear it. Assignments save to the gig itself as you tap, so the plan is there tomorrow morning — and the per-truck subtotals update while you're still deciding what fits.
A weight that includes the box.
One rule, everywhere: gear plus the empty container itself. Item weights come from Inventory, the empty weight comes from the case's own WEIGHT field, and both roll into the truck total. That wasn't always true — the bill of lading added the case tare and the load plan quietly dropped it, so the screen you plan trucks on read light by the weight of every empty box on the job. Now one shared piece of code runs that math for both documents, so they can't drift apart again.

Fill four fields, print the driver's copy.
SHIP FROM starts as your company name. SHIP TO arrives prefilled from the gig's shipping destination, so a venue you play twice a year is never retyped — edit it here for a one-off dock and only this copy changes. Carrier and special instructions are optional; leave them blank and the printed document lays down ruled lines to write on. Below the fields, every handling unit is listed before you commit, numbered, with its truck and piece count.
Generating it locks the record for good.
Generating saves a full itemized record — every tag, item name, category, quantity, per-unit weight, line weight, value and warehouse location, filed under the container it rode in. That record is saved data, not a live lookup: rename the case, retire the gear, edit the pack list for the next show, and it still reads exactly as it shipped. If the save fails for any reason, nothing prints — because a document whose record didn't save would look just like one that did, and that's not something you want to find out during a claim.

Return Check opens the frozen shipment as a checklist. Scan a case label with a handheld and it types straight into the box and ticks that unit home; on a tablet, tap the row instead. ALL BACK when the whole truck rolls in, RESET if somebody got ahead of themselves. Anything unticked shows up by name — STILL OUT: CASE-014, CASE-021 — and if a tick fails to save, it reverts automatically instead of telling you a case is home when the database disagrees.
The parts that keep a weight honest.
A weight is exact, or it's marked
Any figure built on a missing number prints with a "≥" on the very line the carrier reads and signs, and the totals block carries a boxed warning in black ink: NOT AN EXACT SHIPPING WEIGHT. A plain dash means something different — no number exists at all — and it doesn't get used to say this instead.
A soft bag really can weigh nothing
So a deliberate 0 lbs is treated as a fact and an absent weight as a gap — the two are tracked separately, never inferred from each other. That flag is written into the frozen record, which means a reprint six months from now still shows which containers the total was short of.
It tells you which case, and where to fix it
"3 containers have no empty weight" doesn't tell you what to do about it. Each unweighed unit is flagged on its own row — on screen, on the driver copy and in the itemized manifest — and the warning spells it out: set the empty weight on those containers, set item weights in Inventory.
Bulk split across two cases is split on paper too
Which box an item rides in follows one rule, the same one the gig pane and the pull sheet use. A cable pool shared between two cases is split by each case's declared share, not dumped into whichever box happens to get checked first — and the shares always add up to the line's real quantity. A carrier signs this document, so it can't show gear as loose freight when the gig has it packed inside a box.
Frozen copies, not live links
The archive holds the snapshot itself, so reprinting recomputes nothing. Sell the switcher, repack the case, archive the gig — the document still shows what was on that truck that day, which is the only version worth having when there's a claim.
Archived when the gig closes, not on a timer
The dashboard shows shipments for live gigs only; close out an event and its paperwork moves to Company Records automatically. No clock decides — a person always declares a job done. Records for gigs that were later deleted stay visible too: the receipt for a deleted event is still a receipt, and that page never deletes anything.
A CSV you can hand an adjuster
One row per item — container, container type, container ID, empty weight, tag, item, category, qty, unit weight, line weight, value, location — with an empty container still getting its own row so the file agrees with its own footer. The company-books export adds a WEIGHT BASIS column beside the number, and a venue name starting with = or + is neutralised so it can't run as a spreadsheet formula.
Your company name, black ink
Set a company name and it prints on every document you generate. Monochrome by design so it stays crisp off any office laser — and the print preview is pinned to a white page, because a dark-mode machine used to render black text on a black background in exactly the window you check before hitting print.
