Every grab has a name on it.
Put an iPad and a scanner on the table, point it at tonight's show, and every pull off the drawer cases gets logged automatically. Pull a spare, it goes out against a person and a gig. Put it back, it comes in. The OUT NOW list sits there all night as your chase list — work it to zero before the truck leaves.
Nobody's watching the drawer case after 5pm.
Everybody knows the case. Spare DIs, spare handhelds, a fistful of adapters, the batteries. It sits open at the tech table all night and eleven different people reach into it — a tech grabs a wireless at 6:15 because the one on stage went down, somebody borrows a 25-footer and never comes back through, and the sign-out sheet taped to the lid stops getting filled in about twenty minutes into doors.
So at strike nobody knows what's missing until it's already gone, and you find out three weeks later on a different show, when the case is short and the only person who might remember is on a different truck.

Choose which cases live at the table.
Not every road case belongs here — only the open-stock ones people actually reach into. Flip a case on for the table and it appears; flip it off and it's gone. The list it scans against is that case's own standard contents, the permanent record you already keep on the Cases tab, so there's nothing new to type. A case with no standard contents set says so plainly instead of showing up empty and confusing someone at 6pm.
Point the table at tonight's show.
One row of chips across the top: your live gigs, nearest load date first, archived shows and templates left out. Tap one and it stamps every scan from that point on. Tap it again to clear it — pulls then land under Unassigned rather than being credited to the wrong job, because a wrong show is worse than no show. The header always says which show is armed, or that pulls are going to Unassigned when nothing is.
Crew check in — the code is the proof.
Optional, and off until you turn it on. When it's on, the tech-table screen shows a big QR and a six-character code, and crew scan or type it to start a twelve-hour shift. The code rotates every three minutes and expires fifteen minutes after it was issued, so an old photo of yesterday's screen is worthless — being at the table is the whole point. Owners and managers are never gated. Point the station at a show and everyone who checks in there is on that show, so their check-outs tag themselves without anyone picking a chip.

One motion does both directions — a unique item flips out, and the same tag scanned later flips it in. Bulk stock counts up instead: scan the SDI coils six times and six are out. Green flash and the item's name means it took; red means that tag isn't in any case at the table, so nobody walks away thinking a pull was recorded when it wasn't. Hit the ready box for a fullscreen kiosk — READY TO SCAN across the middle in letters you can read from the far side of the table, the last four movements underneath, and a typed-entry box for the tag that won't read.

This is the list you actually run strike off. Everything still out, grouped by the show it went out on, with a running count per group and an ↩ IN button on each row for the piece somebody hands you instead of scanning. Gear checked out loose from a gig shows up here too, marked loose, so there's one strike list and not two. When the last row clears, the screen tells you straight out: everything's back in the cases.

A bulk item can be scanned out only as many times as that case is recorded to hold, not as many as the company owns. Twelve cables in the drawer means the thirteenth scan is refused. And a pool you've retired down to zero can't be checked out at all, because there's nothing left to check out.
A scan that changes nothing logs nothing
Hit the cap and you get a red flash and no entry — no fabricated "OUT" row in the audit trail, no false green telling a tech the pull was recorded. The log only ever contains movements that actually happened.
One trigger pull, one movement
Guns routinely fire the same code twice. Since a unique item toggles, the echo would check it straight back in behind a second green flash — so a repeat of the same code inside 400ms is swallowed. A different tag a tenth of a second later always goes through, because that's just someone striking fast.
Returns find their own show
Checking out credits the armed show. Checking in debits the show the unit is actually out on — preferring the armed one, then working through the rest — so nobody has to remember which gig a piece went out for at 1am. Anything out beyond what's attributed falls to Unassigned, so the totals always reconcile.
Who scanned what, as it happens
A running feed of every scan with the person, the device and the show, plus a tally chip per crew member — tap a name to see only theirs. Your own scans appear the instant you make them; other people's tablets land within about five seconds.
Green dots for what's answering
Gear with a saved IP gets pinged on the house LAN and grouped by what's actually responding — not by which case it's stored in — with a TABLE mark on the ones at your elbow. Silent devices collapse into their own group so the working list stays short. If the probe can't run, the panel says so and the rest of the screen carries on.
It won't display a code it hasn't stored
The check-in code is registered with the server first and shown second. If that write fails, the station retries the same code with a backing-off delay rather than burning through new ones — and tells you loudly that the number on screen still works but isn't refreshing. Once the fifteen minutes lapse it pulls the code entirely instead of showing a lie to a room full of crew.
Move gear, don't edit inventory
Crew can check things in and out all night without being able to change what the company owns — the two live-state writes go through org-scoped functions, and the check-in code itself is never readable by crew, only validated server-side. Edit a case's standard contents from this screen and it warns you first: that's a permanent change to the kit for every future show.
- Check-in code
- Six characters from an alphabet with 0/O and 1/I/L removed so it can't be misread off a screen. Rotates every 3 minutes, accepted for 15 minutes after issue, and starts a 12-hour shift. Off by default; owners and managers are never gated.
- Scanners
- Bluetooth or USB barcode guns in keyboard-wedge mode — a burst of keystrokes under 150ms apart ending in Enter, minimum four characters. Also the device camera on a tablet, or typed by hand. QR labels encoding a full URL are reduced to the asset tag automatically.
- Counts
- Unique items toggle out and back in. Bulk items count up to that case's own recorded quantity — the per-case number, not the org-wide pool.
- Refuses
- A tag that isn't in any case at the table, a bulk item already at its case cap, an echo of the same code inside 400ms, and a check-in code older than 15 minutes — each with a red flash or a plain reason instead of a shrug.
- The record
- Every movement is persisted with tag, item, case, direction, quantity, show, person and timestamp. The last 200 land in the on-screen log; export the whole visible log to CSV with columns time, direction, tag, item, case, show.
- Where it runs
- Two panes side by side on a desktop or a Mac Mini at the table, a single column on iPad and phone, and a fullscreen kiosk on any of them. The camera stays available on touch devices in every orientation.
